Vendor Policy

Welcome to ArtyCraftz. We work with artisans, manufacturers, wholesalers, suppliers, and brands, offering unique handicrafts, home decor, lifestyle, and traditional products.
This Vendor Policy explains the terms and guidelines applicable to vendors who supply products for sale through ArtyCraftz.
By registering as an ArtyCraftz vendor and supplying products to ArtyCraftz, you acknowledge and agree to the terms below.
1. Vendor Registration
Vendors are required to provide accurate and complete information during registration, including business details, contact information, product information and any documents reasonably required by ArtyCraftz.
Submission of the registration form does not automatically guarantee approval.
ArtyCraftz reserves the right to approve or reject a vendor application based on product quality, suitability, pricing, availability, business requirements or other relevant considerations.
2. Product Approval
All products are subject to review and approval by ArtyCraftz.
ArtyCraftz may select products based on factors including:
- Product quality
- Design and craftsmanship
- Customer demand
- Authenticity
- Product suitability
- Pricing
- Availability
- Packaging requirements
Approval of a vendor does not mean that every product submitted by that vendor will necessarily be listed.
3. Vendor Price and ArtyCraftz Selling Price
The vendor must provide their best and final supplier price to ArtyCraftz for each product.
ArtyCraftz will determine the final customer selling price by adding its applicable margin to the vendor's price.
The final selling price displayed on the ArtyCraftz website may therefore be different from the price provided by the vendor.
Vendors should not independently communicate a different selling price to ArtyCraftz customers for orders placed through ArtyCraftz.
4. Product Information
Vendors are responsible for providing accurate product information, including where applicable:
- Product name
- Material
- Dimensions
- Weight
- Colour
- Product specifications
- Product care instructions
- Available quantity
- Vendor price
- Product photographs
Any changes to product specifications, pricing or availability must be communicated to ArtyCraftz promptly.
5. Inventory and Availability
Vendors are responsible for maintaining adequate stock and providing accurate inventory information.
Vendors must immediately inform ArtyCraftz if:
- A product is out of stock
- Stock availability changes
- A product is discontinued
- Production is delayed
- The vendor is temporarily unable to fulfil orders
Repeated stock-outs or failure to update availability may result in the product being temporarily or permanently removed from ArtyCraftz.
6. Order Fulfilment
ArtyCraftz operates on a direct-to-customer fulfilment model.
Upon receipt of an order, the vendor will be responsible for dispatching the product directly to the customer at the delivery address provided by ArtyCraftz.
The vendor must:
- Process the order within the agreed timeframe
- Pack the correct product and quantity
- Use suitable protective packaging
- Dispatch the product promptly
- Provide shipment/tracking information to ArtyCraftz
- Inform ArtyCraftz immediately about any fulfilment issue
The vendor must not substitute a product without prior approval from ArtyCraftz.
7. Shipping Charges
ArtyCraftz will bear the applicable shipping charges for orders fulfilled by vendors, subject to the shipping process and terms agreed between ArtyCraftz and the vendor.
The vendor is responsible for handing over the correctly packed product to the designated courier/shipping partner as instructed.
Any additional shipping cost arising from vendor error, incorrect address information supplied by the vendor, re-dispatch caused by vendor error, or other vendor-related issues may be recoverable from the vendor where applicable.
8. Packaging and Product Safety
Vendors are responsible for ensuring that products are properly packed and protected for transportation.
Particular care must be taken with fragile products such as:
- Brass and metal products
- Wooden products
- Ceramic products
- Glass products
- Handcrafted decorative items
Packaging must be appropriate for the nature of the product and the expected transportation conditions.
9. Damaged or Defective Products
The vendor will be responsible for products that are damaged, defective or incorrectly supplied due to:
- Manufacturing defects
- Poor workmanship
- Inadequate packaging
- Incorrect product supplied
- Missing components
- Failure to follow agreed product specifications
- Other issues attributable to the vendor
Where applicable, the vendor may be required to provide a replacement, accept a return or bear the applicable product-related cost.
ArtyCraftz may review the circumstances and supporting evidence before determining the appropriate resolution.
10. Customer Returns and Complaints
Vendors must cooperate with ArtyCraftz in resolving genuine customer complaints and return requests relating to vendor-supplied products.
Where a return or replacement is attributable to a vendor-related issue, the vendor will be responsible for the applicable product-related cost as agreed with ArtyCraftz.
Customer-facing communication regarding ArtyCraftz orders should be coordinated through ArtyCraftz unless otherwise instructed.
11. Vendor Payments
Vendor payments will be processed weekly for eligible and completed transactions, subject to the applicable reconciliation, returns, cancellations, refunds and other adjustments.
The amount payable to the vendor will be based on the agreed vendor price after taking into account any applicable adjustments.
ArtyCraftz may hold or adjust amounts relating to unresolved returns, damaged products, refunds, cancellations or other vendor-related issues until the matter is resolved.
12. Product Authenticity and Legal Compliance
Vendors must ensure that all products supplied to ArtyCraftz are genuine, lawful and accurately represented.
Vendors must not supply counterfeit, unauthorised, illegal or misleading products.
Vendors are responsible for complying with applicable laws, licences, registrations, taxation requirements and other legal requirements relating to their business and products.
13. Intellectual Property
Vendors confirm that they have the necessary rights to sell the products and provide product photographs, descriptions, designs, logos and other materials supplied to ArtyCraftz.
The vendor is responsible for any claim arising from unauthorised use of another party's intellectual property in products or materials supplied by the vendor.
14. Use of Product Images and Information
The vendor grants ArtyCraftz permission to use the product photographs, descriptions, specifications and other product-related information provided by the vendor for:
- Listing products on the ArtyCraftz website
- Online marketing
- Social media
- Advertising
- Catalogues
- Promotional activities
- Customer communication relating to the products
The vendor confirms that it has the necessary rights to provide such materials.
15. Vendor Communication
Vendors are expected to respond promptly to ArtyCraftz regarding:
- New orders
- Product availability
- Dispatch status
- Tracking information
- Customer complaints
- Returns
- Product quality
- Pricing
- Other order-related matters
Failure to respond or repeated fulfilment issues may affect the vendor relationship.
16. Vendor Relationship and Direct Customer Orders
Orders received through ArtyCraftz are ArtyCraftz customer orders.
Vendors must fulfil such orders according to ArtyCraftz instructions and must not use customer information obtained through an ArtyCraftz order for independent marketing or solicitation without appropriate permission.
17. Suspension or Termination
ArtyCraftz may suspend or terminate a vendor relationship in cases including:
- Repeated poor product quality
- Frequent order delays
- Repeated stock-outs
- Incorrect products being shipped
- Poor packaging
- Unresolved customer complaints
- Misrepresentation
- Counterfeit or unauthorised products
- Violation of applicable laws
- Breach of agreed vendor terms
Products may also be removed from the ArtyCraftz website at ArtyCraftz's discretion.
18. Changes to this Policy
ArtyCraftz may update this Vendor Policy from time to time to reflect changes in its business practices, operations or legal requirements.
The latest version published on the ArtyCraftz website will apply to future vendor transactions, subject to any separate written agreement between ArtyCraftz and the vendor.
19. Acceptance
By submitting the ArtyCraftz Vendor Registration Form and supplying products to ArtyCraftz, the vendor confirms that the information provided is accurate and agrees to comply with this Vendor Policy and any additional commercial terms agreed with ArtyCraftz.
